Beaker Labs Go-Live – Potential impact to provider Preference Lists, Personalized Order Sets

Do you regularly use Epic@UNC Preference Lists or have you personalized Order Sets to best suit your clinical workflows? If so, please review the following details to see if you will be impacted by the April 16 Beaker Labs Go-Live.


Background

On April 16, the Epic@UNC Beaker Clinical and Anatomic Pathology application, which is used to manage Lab tests and Pathology specimens, will Go-Live at UNC Medical Center, UNC REX Healthcare, Chatham Hospital, and UNC Physicians Network. Because Beaker is an integrated component of Epic@UNC, providers will experience better integration and handling of orders for both Lab tests and Pathology specimens. User Preference Lists

The vast majority of lab tests will not change. At this link you can review the lab tests that will change in any of your Preference Lists. Note the following:

  • The file above is posted in SharePoint. If prompted, login using the same username/password you use to access Epic@UNC. If your login does not work, type unch\ in front of your username.
  • The file is password-protected. When you open the file, select ‘Read Only.”
  • Filter for your name by clicking the down arrow in the first column header. You will then see any of your preference lists entries that need to be updated and the ‘defaults’ you’ve used for each test prior to the Beaker Go-Live. The defaults can be updated using these steps.
  • Lab tests and Respiratory Therapy tests that are inactivated or updated will be removed from Preference Lists on April 16.

Personalized Order Sets/Smart Sets

  • If you use default order sets that are impacted, they will be updated in the background and no action is required. 
  • If you use any personalized order sets, note the following: 
    • Many personalized order sets/smart sets will be cleared to a default state (i.e. the boxes checked-off within your order sets will no longer be checked). 
    • To prepare, we recommend that all providers using a personalized order set/smart set print a copy of the order set PRIOR to April 16 using these steps
    • If a personalized order set/smart set you use is impacted, you will see a popup when the order set/smart set is selected to notify you of the change.

Planned Epic@UNC downtime

There is a planned Epic@UNC downtime for Beaker Go-Live from 9 p.m. Friday, April 15, until 1 a.m. Saturday, April 16.

For providers who draw specimens

  • A team from ISD will be rounding through inpatient units during the first two weeks in April to discuss workflow changes for all who collect specimens. View the rounding schedule
  • Ambulatory providers who draw specimens are encouraged to join a WebEx session between April 11 – 14. View the schedule.

  • Blue text indicates tests that will be changed in User Preference Lists. Providers must add back defaults (clinic collect, t, t+1, etc).
  • Burgundy text indicates the old Test that will be deleted from User Preference Lists. Providers must add back the New Procedure Code(s).
  • Grey shading indicates a test that was an Order Panel prior to Beaker that will be replaced by a single lab test with Beaker.
