Epic@UNC Validation Sessions begin March 26

The Epic@UNC project continues next week with the first of three validation sessions. From March 26 – 28, we will host more than 90 meetings to gather feedback on proposed Epic@UNC workflows.

During each validation session, representatives from Epic will present many of the specific workflows (i.e. – admission/discharge) of the proposed Epic@UNC system from end-to-end for a group of Subject Matter Experts (SMEs) to review.

Do not be alarmed if you have not yet been invited to a validation session meeting - unfortunately we cannot invite everyone identified as a SME. Some validation sessions are conducive to larger groups (50-100 people) while others need to be smaller (20 people or less) in order to facilitate discussion and decision-making.

Considerable care has gone into including a representative cross-section of UNC Health Care System representatives for each session, though it is obviously not possible to include every interested person at each session.

It is important to remember that this is not the last chance to provide feedback. Two more validation sessions are scheduled on April 9 – 11, and April 23 – 25, 2013 – if you are needed during these validation sessions you should be contacted soon. Additionally, many SMEs and users across the Health Care System will be needed for feedback and guidance this spring and summer.

Based on feedback received during the three validation sessions, representatives from Epic and the Epic@UNC Core Team will begin building the Epic@UNC system during a 17-week period this summer. As the Core Team builds the Epic@UNC system, they will check-in regularly with SME’s for guidance and to show their work. Work on standardizing Epic@UNC content such as ordersets and note types will also provide an important opportunity for SME contribution beginning this spring.

We had tremendous attendance at our Epic@UNC introductory sessions in February, which was terrific.  At times, however, we were unable to accommodate necessary SMEs due to participation from others who had not RSVP'd. While there is a role for every interested person in the Epic@UNC project, entrance to validation sessions will be screened to ensure that the designated SMEs can participate. Walk-ins will be welcomed after this (think of the stand-by line for a flight).
